You drag exhibitors from the sidebar onto their booth. On saving, the designer writes the booth numbers – and optionally the locations – to the exhibitors. A check report shows beforehand what doesn’t fit.
The mode
In the project settings (☰ menu), section “Exhibitor data”:
| Mode | Behaviour | For whom |
|---|---|---|
| Maintain in the designer (default) | assign exhibitors by drag & drop; the booth numbers are written on saving | anyone doing the assignment on the plan |
| Display only | the designer shows occupancy and the check report but never writes exhibitor data; drag & drop is off | anyone maintaining booths and locations via CSV import, Mass Editor or form |
“Also maintain locations” (only with “Maintain in the designer”): the designer writes the locations too. Without the tick it writes booth numbers only.
Assigning
- Drag an exhibitor from the Exhibitors tab onto a booth – or search via “+ assign exhibitor” in the booth’s properties.
- Detach with “Remove from booth”; dragging an exhibitor onto another booth means moving them.
- A booth can carry several exhibitors, an exhibitor several booths.
- The “Exhibitors” tab filters by all, without booth, booth not in plan, and placed in plan.
- The status bar counts open assignments; until saving they can be undone with Ctrl+Z.
What gets written
Assignments are not stored in the plan but only on the exhibitor – in the “Booth IDs” field. The designer reads them on opening, so there are never two truths.
- Booth numbers: the number is added or removed; other numbers in the field stay untouched.
- Locations: the room of the new booth is added. Only the room a booth was moved out of or deleted from is removed – and only if the exhibitor has no other booth there. Locations without a booth (e.g. a signing area) and locations set by hand are never touched.
A publisher has booth F-03 in “Foyer GF” and is additionally listed without a booth in the “Signing area”. In the designer you drag them onto H-02 in the trade hall. After saving they have the locations Signing area and Trade hall – the outdated foyer is gone, the signing area stays.
Saving
Save (or Ctrl+S) shows, if assignments are open, a list of all changes with checkboxes, e.g. “Booth F-03 → H-02 · Location …”:
| Button | Effect |
|---|---|
| Save plan and selection | saves the plan and the ticked assignments |
| Save plan only | saves just the plan; the assignments stay open |
If an exhibitor was changed in the form, the Mass Editor or via CSV since the editor was opened, the designer writes nothing for them and reports it with the current state – instead of overwriting the other change. Check the assignment and save again.
The check report
It runs with every change; the status bar shows the number of notes, a click opens the list.
| Note | Consequence |
|---|---|
| Booth number used more than once – also across floors | blocks saving |
| Booths without a number | blocks saving |
| Booth numbers of exhibitors that don’t exist in the plan | note |
| Booths without an exhibitor | note |
| Exhibitors whose location doesn’t match the room of their booth | note |
| Overlapping booths | note |
| Booths outside every room | note |
On saving, the server checks the data once more itself.
