Thirteen terms keep coming up in this documentation and in the admin. Once you know them, every chapter falls into place. Plus: what your guests can do without an account – and what the plugin deliberately does not do.
A small glossary
| Term | What it means |
|---|---|
| Main event | The bracket around everything, e.g. “Book Fair 2026”. It groups all sessions and defines the time span. |
| Session | A single item within it: a reading, a workshop, a concert. In the admin, main events and sessions are both called “Event”. |
| Parent | The field that assigns a session to its main event. Without it, the session appears in no filtered view. |
| Category | The thematic drawer: talk, workshop, concert. Provides the filters for your guests and, if you like, the color. |
| Venue | The room or stage. Defines the columns of the timetable and provides color and fallback image. |
| Role | What a person does: author, host, band. |
| Speaker | A record of its own for a participating person – with portrait, description and a list of all appearances. Works for any role, not just presenters. |
| Shortcode | A short text snippet in square brackets, e.g. [event_calendar]. You put it on a page and it brings the program to exactly that spot. |
| Timetable | The grid: rooms side by side, times from top to bottom. |
| Live ticker | The display that always shows what is running now and what comes next. |
| Room monitor | The full-screen display for screens outside the halls – an add-on of its own. |
| Master Editor | The spreadsheet view in which you change many sessions at once. |
| Event ID | The number (e.g. SW26-003) by which the plugin recognizes a session during CSV import. |
From input to display
- 1You enter
Title, date, time, venue and category – once per session.
- 2The plugin sorts
It orders by day and time, groups by venue and assigns the colors.
- 3You choose the view
A shortcode decides where which display appears.
- 4Your guests see
On the website, on their phones and on the screens on site – always up to date.
You only ever work in step 1. Everything else happens automatically – a changed time appears on every view and every screen a few minutes later.
What guests can do without an account
| Feature | What happens | Where it appears |
|---|---|---|
| Search | Full-text search across title, description and people | Calendar |
| Filter | Narrow down by day, venue and category | Calendar, timetable (day) |
| Upcoming only | Hides everything that is already over | Calendar |
| Favorites | Put sessions on a personal list with the heart icon | wherever sessions appear |
| Share favorites | Pass on the selection via link or QR code, or move it to a phone | Calendar |
| Add to calendar | Download a session as a calendar file (Outlook, Apple, Google) | Card, list, detail view |
| Recommend | The device’s share function, or “Copy link” | Detail view, compact card |
| Find the room | Open the hall plan with the room highlighted (with the exhibitor plugin) | Detail view |
Favorites and filters are stored in the guest’s browser and survive closing the page. No personal data is stored – see Favorites & QR code transfer.
What the plugin deliberately does not do
| Limit | What applies instead |
|---|---|
| No recurrence rules | There is no “every Monday”. The plugin is built for self-contained programs. Create recurring sessions individually – or import them in one go via CSV. |
| No ticket sales | You can link to your box office and show a price. Selling happens in your usual ticket system. |
| No guest registration | No sign-up, no seat management. Favorites stay anonymous in the browser. |
| Hall plans only with the exhibitor plugin | The “Hall plan” button only appears when Event Exhibitor Manager is active. Without it the button is simply missing – nothing breaks. |
