Illness, travel trouble, program changes: a cancelled session is not deleted but marked. Nobody ends up puzzled in front of an empty hall – a visibly cancelled session answers the question by itself.
Three ways to cancel
| Where | Control | When it makes sense |
|---|---|---|
| Edit screen | Switch “Event is cancelled” in the “Event data” box | When you are editing the session anyway, e.g. to add a note to the description. |
| Quick Edit | “Cancelled” checkbox in All Events → Quick Edit | For a fast cancellation straight from the list. |
| Master Editor | “Cancelled” column or bulk action “Set Cancelled (Yes/No)” | When several sessions are affected – e.g. all appearances of a person who fell ill. |
Undoing works the same way: switch off, and the session appears as normal again.
What your guests see
- Calendar, list and compact card: “Cancelled” badge, “[CANCELLED]” before the title, red marking.
- Timetable: The card stays in the grid – guests understand the gap and don’t search in vain.
- Live ticker: The session stays in its row with the red badge.
- Dashboard: The “Cancelled events” card shows all cancellations at a glance.
Replacement program on the room monitor
Create a new session for the free slot in the same room. The add-on’s room monitor then orders things like this:
- 1Replacement before cancellation
If a cancelled session and its replacement run at the same time, the replacement is shown with “LIVE” in the main area.
- 2The cancellation stays visible
It moves to the top of the list as a grey row with a red “Cancelled:” and disappears by itself when its time is over.
- 3Without replacement
If there is nothing else, the cancelled session is shown in the main area – with a red “Cancelled” instead of “LIVE”.
- 4Switch without reloading
If the replacement only starts while the display is running, the monitor switches by itself on the full minute – even offline.

Changing the label
Change the word “Cancelled” under Settings → Text & Labels in the “Status & Messages” group (field “Cancelled”), e.g. to “Dropped”. It then applies to all views and all screens.
The status is stored in the meta field _event_cancelled (1 = cancelled). The public REST API returns it in the status field (scheduled or cancelled); partner apps can query cancellations directly with /events?status=cancelled.
