A clickable plan comes from two things: the SVG file on the event and the booth numbers on the exhibitors. Hall plans belong to the event – not to the exhibitor and not to the location.
If an exhibitor has A12 in the “Booth IDs” field, the matching area in the drawing must be called A12 – as its ID or its object name, see Preparing the SVG. Only then does it become clickable, light up and open the info sheet. Case may differ – nothing else.
Adding a hall plan
- 1Open the event
Not the exhibitor – the fair itself.
- 2“Add SVG map”
In the “Hall plans (event only)” box. The media library opens; choose the SVG file and confirm.
- 3Check the “Import hall plan” dialog
It shows a preview, the floors found with their rooms (tab name editable) and notes: how many named objects there are and how many of them belong to an exhibitor, duplicate names, object names taken over as IDs and elements outside every floor.
- 4“Import”
Each floor gets a file and a row of its own. Its rooms are already in place as pills; if a location with the floor’s name exists, it becomes the parent location.
- 5Order
Drag the rows by the handle on the left into the desired order – that’s how the tabs appear in the front end.
- 6Update
Only then is the plan available in the front end. On saving, the plugin creates whatever is still missing in the location list.
What else the dialog offers
- Labels that match existing locations: a tick adds them as rooms as well.
- Preview: hovering over a floor highlights it.
- No floors found: if the file has several top-level groups, mark the floors by hand and choose “Use marked groups as floors” – or take the file as a single tab.
- “Use file unchanged”: the file is attached as one plan without processing. Object names are then not translated into IDs.
Setting up a row by hand
For a file without floor names, or to adjust a row afterwards:
- 1Tab name
e.g. “Hall 01”. It appears on the tab above the plan.
- 2Parent location
A drop-down of all top-level halls. If the hall exists, its rooms appear as pills at once – and the hall itself is added too. If it doesn’t exist yet, leave the menu alone; then the tab name becomes the hall.
- 3Add rooms
Typing and Enter creates a pill, the × removes it.
Upload new version
Rows from an import show below the preview which file they come from, plus the button “Upload new version”. It replaces the floors with a revised file – the plugin recognises them by name:
- Tab name, order and rooms added by hand stay.
- New rooms are added.
- A floor missing from the new file is marked “not in the current file”, but not deleted.
Floors from the Hall Plan Designer add-on carry the note “managed by the designer” and the link “Edit in designer” in the box. “Upload new version” is deliberately missing for them so that drawing and file don’t drift apart. Tab name, order and further rooms are changed in the box as usual.
The box only appears for entries without a selected event and disappears as soon as you choose one at the top. Anyone uploading a plan first and choosing an event afterwards saves it on the exhibitor – where it is never read, but surplus locations remain.
Why the hall is included as a pill
The exhibitor ↔ plan assignment works by comparing names: an exhibitor belongs to the plan whose tab name or room list contains their location. If you don’t need the hall, remove its pill with the × – the other rooms stay.
Existing locations are never moved. Merely opening and saving an event creates the tab name as a location, and renaming a plan creates a second term on saving. Renaming belongs in Locations.
The plan is ready when …
- the SVG file is attached to the event (or one row per floor),
- the names of the booth areas match the exhibitors’ booth IDs,
- each row has its parent location chosen and its rooms entered,
- the exhibitors carry one of these locations,
- the page contains
[event_hall_plan]with the rightparent_id, - and a click on a booth area opens the info sheet.
It is almost always the name: spelled differently from the booth ID, on a group spanning several booths, or the file was taken over with “Use file unchanged” although the numbers are only in the object names. And: if “Hide all location & booth information globally” is set, the plan is deliberately not clickable.
